Division: Primary Purpose of Organizational Unit: Primary Function of Organizational Unit: Student Engagement, Enrollment, and Retention (SEER) is a functional area of the Division of Academic Affairs. SEER supports students throughout their academic career, from recruitment to graduation, to advance student success at the University of North Carolina Wilmington (UNCW). SEER includes multiple enrollment and student service areas including Admissions, Military Affairs, Registrar, Scholarships and Financial Aid, Student Athlete Support Services, Student Success Data and Research, Transfer Partnerships, Retention and Student Success, the Office of the Assistant Provost for Academic Advising, and the Center for Academic Advising (CAA).
The Center for Academic Advising supports all incoming freshman, undeclared transfer students, Isaac Bear Early College High School students enrolled at UNCW, and non-degree seeking undergraduate students until they become eligible to declare a major. The Center for Academic Advising is also responsible for the development and implementation of co-curricular programs that support a student's successful transition to college and enhance retention. Students are advised by a team of professional advisors. The Center for Academic Advising is actively engaged in helping students take responsibility for their academic success by encouraging exploration of academic disciplines, utilizing the campus resources available to support their development, developing an understanding of academic requirements and standards and promoting career exploration. The Center for Academic Advising staff works collaboratively and proactively with staff and faculty throughout the university to enhance the effectiveness of student intervention strategies that increase student learning and success.

Brief Summary of Work for this Position: The Administrative Associate provides business services related to the curricular, academic, advising, and day-to-day operations of the Center for Academic Advising. This position is service-oriented. The ability to communicate effectively and independently with a variety of constituent groups is critical to the success of the role. This position is responsible for the overall management of office level workflows, in person staffing of front office area, and effective triage of student, staff, faculty, and public traffic in relation to campus advising needs. This position supports the Center for Academic Advising by integrating software, coordinating candidate interviews, and acting as a liaison with HR. The position provides direct support to senior staff, creates Standard Operating Procedure documents, manages organization of those processes, trains new employees, and represents the Business Officer as needed.
Responsibilities include:
- Independently manage business processes for the office including core office needs such as student facing communication, including below 2.0 letters, dean's list letters, document management, and core office support such as travel planning and processing and management of all customer service needs.
- Develop and manage the change of curriculum process involving change of major, change of interest code, advisor/advisee reassignments and other curricular updates.
- Provide direct office support by facilitating workflow and developing new processes to support the needs of the unit and the academic advising community.
- Facilitate events for the unit by working with departments on campus as well as external vendors, arranging for payment and executing payment process.
- Manage day to day operations for the unit through a systematic approach to address customer, students, faculty, and staff needs. Supervise student employees and manage the workflow for managing a wide array of inquiries for the campus.
- As an office manager, complete critical tasks including sending letters using mail merge, maintaining office and key inventory, entering work orders for maintenance issues, maintaining CAA email inbox, sending bulk emails, managing room reservations for staff meeting and functions, processing travel authorizations, reimbursements, and EPAF job records.
- Other job-related duties as assigned.
Minimum Education and Experience Requirements: High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Preferred Education, Knowledge, Skills & Experience: - Two years of previous supervision or other transferrable leadership experience.
- Work experience in a university environment.
- Exhibit flexibility, willingness to learn, ability to change, and maintain current technology skills.
- Ability to manage workload autonomously, solve problems independently and collaborate effectively.
- Ability to complete complex academic tasks in a very busy office environment, without compromising the accuracy of the transactions.
- Good customer service and communication skills due to frequent heavy contact with students, faculty, staff, and general public.
- Excellent data entry, organizational, and time-management skills.
- Ability to communicate clearly and accurately with all contacts regarding university academic policy is critical.
- Ability to analyze academic situations and resolve or refer problems for resolution is needed.
