Job Description
Our client, a top media and entertainment company, is seeking an Event Coordinator to support their event producers throughout all phases of planning and executing a large upcoming event. This includes coordinating logistics, tracking documentation, maintaining schedules, managing operational workflows, preparing production materials, and ensuring seamless communication across teams, partners, exhibitors, and vendors. The coordinator will also support on-site operations during load-in, rehearsals, event days, and strike. This role requires exceptional organization, proactive communication, strong attention to detail, and the ability to manage multiple priorities in a dynamic, fast-paced environment.
- Location: Glendale, CA 91201
- Assignment Type: Full-Time Contracted, January 5th – September 4th 2026
- Pay Rate: Up to $35/hour depending on experience
- Schedule: Onside Monday-Thursday 9:00AM-6:00PM, remote Friday
Responsibilities:Project & Administrative Coordination- Coordinate assigned tasks across multiple workstreams, ensuring deadlines are met.
- Maintain planning documents, production files, schedules, trackers, routing grids, and approval logs.
- Prepare meeting notes, distribute updates, and route information to stakeholders.
- Support operational workflows for production, logistics, and creative teams.
Logistics & Partner Support- Assist communication with vendors, exhibitors, cross-functional teams, and internal partners.
- Track deliverables and ensure accurate, timely documentation and approvals.
- Support onsite operations, including load-in, rehearsals, event days, and event strike.
Production & Documentation Support- Help develop presentation materials, briefing documents, signage grids, run-of-show updates, and production manuals.
- Assist in preparing materials for leadership, creative partners, and operational teams.
- Contribute to post-event reporting and documentation.
Required Qualifications:- Bachelor’s degree in Event Management, Meeting Planning, Marketing, Business, Communications, Theater, or related field — or equivalent experience.
- 1–2+ years of experience in event coordination, production, project coordination, or similar role (internships accepted).
- Excellent verbal and written communication skills.
- Strong organizational abilities with the capacity to manage multiple tasks and timelines.
- Proficient in Microsoft Office (Excel, Word, Outlook) and presentation tools (PowerPoint, Keynote).
- Detail-oriented with strong accuracy and follow-through.
- Ability to work effectively in fast-paced, deadline-driven environments.
