Job Description

In this pivotal role, you will support both the CEO and the Board of Directors by managing day-to-day scheduling, streamlining executive operations, and ensuring seamless coordination across key initiatives. Key Responsibilities:

  • Own and maintain the CEO’s complex calendar, prioritizing meetings, events, and deadlines with efficiency and foresight.
  • Collaborate with the executive leadership team to align schedules and support high-level strategic priorities.
  • Arrange travel, lodging, and event logistics to ensure the CEO’s time is used effectively and thoughtfully.
  • Assist with administrative tasks including processing expense reports, compiling documents, and handling confidential materials with discretion.
  • Serve as the key liaison between the CEO and the Board of Directors, supporting meeting preparation, communications, and documentation.
  • Coordinate board meeting logistics—from scheduling and catering to compiling and distributing essential materials.
  • Contribute to special projects and provide broader executive support as needed.

What We’re Looking For:

  • Administrative experience. A Bachelor’s degree is preferred, with at least three years of administrative experience supporting several executives. Candidates with direct board experience are preferred!
  • Forward-thinking. You anticipate needs, adapt quickly to change, and take initiative to keep things running smoothly.
  • Meticulous. You manage competing priorities with grace and precision, always staying a step ahead.
  • Professional communicator. Comfortable engaging with diverse stakeholders at all levels, both verbally and in writing.
  • Digitally fluent. Skilled in Microsoft Office Suite, with a particular strength in calendar and scheduling tools.
  • Solution-oriented. You bring a can-do attitude and a calm, thoughtful approach to juggling shifting priorities, new challenges, and cross-functional requests.
